Here is a step by step process on how to write/ document SOPs.
Open a blank Word document or Google Doc.
Write down the name of the SOP.
Then write down the objective of the SOP → What exactly do you want to achieve by executing this SOP?
Write down all the broad steps that need to be taken to achieve this objective. For now, don’t overthink, just capture the high-level process.
Break each broad step into detailed step-by-step instructions. Start with the first broad step, and break it down. Repeat this for each step.
Add screenshots wherever required. Visual clarity makes it easier for others to follow.
Assign responsibilities for each step. Decide who will do which step.
Write down the timing and frequency of each step. How often should this step be done? Daily? Weekly? Monthly?
List all software, equipment, and resources needed to execute this SOP.
By the end of this, you’ll have a well-documented SOP that anyone in your team can follow.
This is how you document all your existing processes in the form of a SOP.
Tips:
I recommend you document at least one process per week.
And if you have a team, delegate the documentation to your team members.
