I was recently speaking to an agency owner who shared something that many business owners can relate to.
She said she constantly has to remind her team members about the routine tasks they’re supposed to do.
For example — her HR needs to process the payroll by the first of every month. But every single time, she has to remind the HR person three days in advance to start the payroll process.
She asked me:
“What’s the solution so I don’t have to follow up for every single routine task?”
Here’s What I Told Her
For every team member in your organization, follow this simple system:
List down all the recurring tasks they are responsible for.
Example: HR needs to process payroll by the 1st of every month.
Write down the frequency of each task.
Some tasks are daily. Some are weekly, fortnightly, or monthly.
Clearly define how often each task needs to be done.
Put these tasks into a task management software.
Once these recurring tasks are inside the system, team members will automatically get reminders.
They’ll be notified that they need to complete the task today or by tomorrow morning.
The Outcome?
✅ No more forgetting routine tasks.
✅ No more manual follow-ups.
✅ You save time. Your team becomes more responsible. The system takes care of the rest.
Your Action Step for Today:
For every team member, write down their recurring tasks and the frequency at which they need to be done.
This one step will save you hours of reminders and follow-ups every single week.
Let the system do the reminding — so you don’t have to.
Thank you
